Photo Management Organization

image via

The Monday after daylight savings... always a rough one.

How were your weekends?  We stayed pretty busy over here which is becoming the new norm.   Nursery progress was made, Nick's family was visited, way too many episodes of House of Cards were watched (such a good season so far!) and  I also started the super exciting process of organizing/backing up all my pictures on my computer.

Our current laptop is about to die - literally any second - so we're getting a new one this coming weekend and I needed to get my pictures in order ASAP.   I've done an absolutely terrible job at backing things up the last few years and would be devastated if I lost my pictures from college (although about 95% of those should never see the light of day again), our honeymoon or when Brady boy was actually a tiny guy.  I've put doing this off long enough and getting a new computer was just the kick in the butt I needed to figure out what the heck to do with everything.

First up, I organized ALL of the photos on my computer.  It was a b*tch, but it's so nice to have them all in their dated, alphabetized folders.  Makes my OCD side happy :)  Every single folder is named in this same format: year, number month, month name and what's inside.  So for instance, the folder that contains all of our Hawaiian honeymoon pictures from August 2013 is labeled like this:

13 08 Aug HAWAII

Easy enough, right?  I like doing the numbers first because it keeps them in order by date, which is easier for me to remember than what I may have titled the album.  I plan on moving photos over from my phone/camera on the first of every month going forward and will organize them right away now that I have a good system in place.  I use Dropbox for easy transfers from phone to computer and this eye-fi card for camera to computer.

Next up, backing all that hard work up.  I ordered this external hard drive in 1 TB as it can hold basically a million pictures and it's really easy to use.  Just plug in your USB cable from your computer to the hard drive and transfer your files on over.  I'm also going to look into an online site like a cloud or something to back things up onto.  Those honestly still make me a little nervous, having all of your memories dependent on another website.  I just feel better having my photos on the actual hard drive I have in my hands, but the online option would be a nice double/triple back up.

But, my blog photos.  I have no idea what to do with all of them.  I need a better solution.  Right now, when I use a photo from online, I just right click and save it onto my computer in a massive folder called BLOG.  It's a big jumbled mess.  How do you save photos that you use for your blog?  I've been reading a lot about Photobucket and think I might start using that.  Please give me all your tips!

Let me know if you  have any questions about this, I know it can be a chore to get all of your photos organized, but it's so worth it to have peace of mind that your memories are safe.  And I'm sorry to bore you with such an exciting topic on a Monday ;)   I'll be back tomorrow with some pretty bag eye candy for spring!

  1. I really need to sit down and organize all of my photos better too! I've been saving my blog photos by post, so I basically have a million mini folders in my blog folder. Not the best system. Haha.

  2. I organize my photos the same way too, great minds, lady! If I save a special picture for a blog I'll name it something special, but if it's just a funny or a random picture I don't take the time to rename cause I"ll often delete them. Looking forward to the eye candy!

  4. I need to do this, too. I have a bunch of photos just kinda floating around on my computer and I'd be heartbroken if I lost them all. Good on you for getting on top of all of this!

  5. I don't have any photo solutions, but my husband and I just got Netflix and binge watched the first 10 episodes of season 1. I made the mistake of googling Claire and found out three spoiler:(. Such a good show.

    1. I have no idea why my phone deleted House of Cards! We binge watched that this weekend.

  6. That sounds like a great weekend! For the blog, my husband set up a "shared folder" that is available on both computers and I save things based on holidays, topics, etc. So all my Weekending and Five on Friday posts have a folder with the dated folder inside. Not sure if that helps :)

  7. I save all of mine by post -- so I have a blog folder and then soooo many sub-folders. I start off by year, then name of post/theme, so for today's post, I just labeled it Green and Stripes. haha. But I need to back everything up to an external hard drive for sure!

  8. I think my laptop is on it's last legs too. It has a rough time starting up...and doing just about anything. Which reminds me I need to back up all my pics! I have about a million folders to organize my blog pics. I usually do it by week then post. <3, Pamela Sequins & Sea Breezes

  9. I try to organize all my blogging items in folders to keep track of everything. I also always back up my photos on our server. I actually did lose a ton of photos due to a virus back in high school and it was horrible, so now I'm super cautious with backing up.

  10. Oh this post just gave me all sorts of anxiety! My photos are semi-organized (but not as much as I would like). And I have an external hard drive, but I still feel like I need to tackle that project more. I just do not have the time!

  11. Oh man all of the photo saving mess is something I need to do ASAP! I'm not sure if my computer is about to die out or its just too full and making it slow. I recently bought a hard drive too to save photos on.. I just haven't done it yet.. Haha go you!

  12. Yay for a weekend with the fam, and lots of HOC! And yay for a new laptop, but I hear ya on organizing all the photos and transferring to the new computer. I love the idea of using numbers first, because I usually just name the folder whatever the trip was or time of year, so they're in alphabetical order instead. I'm not much help for blog photos, because like you I'll right click and save to the computer, but I delete them once I'm done. I like the idea of photobucket or I'd just start a blog folder, and then folders within that folder organized by date or subject. Cheers to a fabulous week gurlie <3

  13. Nice job on getting everything saved in an organized fashion. That was so smart to get those saved before the baby arrives, because I bet you'll have about a million new photos before you even leave the hospital, haha. And, don't feel bad, we definitely already finished House of Cards!

  14. I try to be active on backing up photos. I am always uploading to Shutterfly but I've been curious about Photo bucket myself.
A little extra tip - I created a private folder on Pinterest called Blog Pics & will upload there to have an extra copy somewhere to grab if I need to.

  15. Almost all of my photos are on my phone from the blog (edited there and sent to my email, very redunant) but I'm sure there is an easier way.

I actually back up all of my photos to my external hard drive as well. One thing that I like to use is Box Sync because it's on my phone and my computer. I don't usually use it for photos though. I've used photobucket for as long as I can remember, but I'm not sure how it is with the mobile version. I think several people use Google Drive. I don't, but it's worth a shot to check it out. I think you get 15GB for free, which is quite a bit of photo storage to have. You could always back them up there first and as it gets filled up remove them to you external hard drive? That's what I do with my phone. Because you never know!

  16. When you find a solution will you please tell me? Seriously please. My blog pics are out of control!

  17. I love the naming structure of your folders - I might switch over to that! As far as blog photos go, I was using Photobucket but stopped recently just because I got lazy. I only recently started using the photo insert tool directly in Blogger, which makes life a lot easier. To keep everything organized, I have a blog folder on my computer, and then I have subfolders broken down by year, then month, and then a separate folder for each post. Then, for posts like my outfit ones, I have a To Edit and Edited folder so anything else outside those folders can get deleted. It's probably a bit excessive, but hey - I'm organized OCD, too. :)

  19. This is such a good reminder that I need to do this! I love how you organized them and am totally going to copy!

  20. hmmm honestly, i don't keep photos that i use randomly for my blog. i keep my photos, obviously, but random stock photos or even gifs, i delete them. but i like the way you organised them by date, i have mine like this: a folder for the year, open that folder and you'll see 12 folders for months, and then in each month is specific things (like wedding, honeymoon etc) but i like yours better. i really need an external hard drive!

  21. I'm curious to know how you tackle the photo storage job because mine are NOT organized ha. Half/most are actually on my work computer, but then anything uploaded to the blog in Wordpress is saved under "media" which is nice. Maybe a "deep clean"/purge will help the chore be less tedious!? Yay for a new toy coming so that's a perk to getting the photos stored elsewhere :)

  22. I so need to do this too! I lost everything on my old laptop (all my daughters birth, baby showers, 1st birthday) and I was devastated! I've been pretty good about backing them up now but I need to organize them for sure!

  23. I used to back up all my photos on CDs (#oldschool) and then got lazy with keeping up with them... and thought "hey! I might lose my photos! I should get an external hard drive!" So I did. And then did the laziest thing... I never put my photos on it. This was back in 2011. My computer crashed and I lost a year and a half worth of photos that hadn't been backed up on CDs. I salvaged a lot of them from Facebook & my blog (thankfully FB was still something I posted to frequently back then and I shared all my favorite photos on the blog), but I lost a lot of photos. And the photos I did manage to save are pretty small (because FB made them tiny back then).

Anyway, all that is to say... now I have a system. Every month I put all my photos from my phone and camera onto my laptop in their little folders where they belong (I have mine sorted by date and title). I delete extraneous photos (I don't need fifteen photos of the same thing, just the 1 or 2 best ones). And then I copy everything over to my external hard drive. And then I do it again to a second back up external hard drive (don't make fun of me, I lost photos once, I'm scared of it happening again, ha!). So a really similar system to yours! :)

  24. I need to work on my organization, but for photo backups I use Google Photos. I have a draft post about why I use Google photos and I'll eventually publish it, but in short - it's awesome. You get unlimited storage and can backup from your phone or computer. It is also great at face recognition. If I do post something to my blog, I usually download the photo and then every once in a while bulk delete my downloads so it doesn't weigh too heavy on my computer's storage.

  25. I've had ordering an external harddrive on my 'to-do' list for like six months now and for some reason I just never do it, but you've inspired me to actually go through my photos and organize them so I can have them backed up!

  26. Great idea of sorting your pictures. To be honest, I don't save a lot of blog pictures because once they are uploaded, they are on my blog. I save very few, and those that I do I use photobucket for.

  27. I totally need to use some of these tips, I was great about backing up all my pictures, but as time went on I got lazy. I do need to get back on it :)!

  28. Girl, I need to do this too! I did get a hard drive for all of my photos because my computer just can't hold all of them BUT they definitely aren't that organized. I will put this on my future to-do list... after the wedding!

  29. Pinning this for later use because it is SO helpful! I did organize all of my photos on my computer, but I have yet to move them to an external hard drive. So I need to do that.
For blog photos, I save them all to a secret pinterest board, and I indicate the date I used them and link back to the original source. I need to create sub folders because its becoming a mess though.

  30. Ugh I need to do more of this too. I basically do the same but it's 04-10-2015 - Rome, Italy. As far as blog photos, I self host on Wordpress so they go into my domain. Love that it's that easy.

  31. I told Cory just these week that I need to get all my photos organized. I've got two external hard drives with different pictures on them plus my computer. My issue with blog photos is that the ones from my computer fill up my Macbook so fast. The only solution I have come up with is to store everything on the external hard drive and connect to it wireless.
